Request student room (exchange students)

Welcome on the registration page for Bagatten House, Jeruzalem House, Savaan House, Poort House, Ter Plaeten Upkot, Baudelo Upkot and Bro Upkot. You can register online from Monday, May 8th 2024 (10am). At 10am a pop-up will appear at the bottom of this page. Please use a mail address you can use during registration. You will receive a weblink via that mail address to the actual registration tool. 

But firstly, we ask you to read though following steps.

 1. How are registrations and allocations done?

  • Registrations for exchange students in the first semester start on Monday, May 8th 2024 at 10 am.
  • From May 8th until May 22nd, we are ensuring that all students can apply for a room in our student houses, regardless of their time zone. We’re also ensuring there’s a fair mix of students from different countries of origin. 
  • Starting May 23th there will be no more priority registration. You can still apply, but you will be added to a ranking based on your time of registration. 
  • By June 5th, you will know whether or not you've been appointed a room.
  • Are you on the waiting list? Know that there may still be cancellations, especially in the beginning. 

2. Some ground rules for during registrations:

  • You can assign 3 room types as preference. 
  • Giving your preference does not mean that you will automatically be allocated that room. It depends on your position in the ranking and how many rooms of that type become available.
  • It doesn't matter which building and/or room type you end up in? Or you have more than 3 preferences? Let us know in the comments section of your registration. This will increase your chances of getting a room. A maximum budget is also very useful information. 
  • Keep your bank account number close. This can be the account in your home country. Your deposit will be returned on that same account number. 
  • Are you a parent registering for your child? Then be sure to fill in the student's details, not your own. 

3. How do you know if you were allocated a room?

  • You will receive an e-mail. In the attachment you will find your rental agreement and the house rules. 
  • Only if we receive a signed copy of the rental agreement within 14 days after sending it you, the room is yours. We'll only send a reminder once. After that, the room is irrevocably released back to the waiting list.
  • Your room is definitely yours, if we have received the following documents/payments:
    • signed lease
    • signed house rules
    • the rent and key deposit (600 euros) 

Do note, that the rental agreement is a legally binding document. You can only terminate your tenancy agreement during the academic year if the grounds thereto are provided in your contract. So read the rental agreement carefully before you sign it. 

4. Important to know

  • Did you opt for a double room or a duo studio? Each prospective tenant needs to register for themselves and add the name of a potential roommate in the comments section.
  • All rooms are furnished: bed with mattress, pillow, duvet and mattress cover, desk with chair, wardrobe and washbasin with mirror. There will also be kitchen supplies. 
  • Rooms in Bagatten House, Poort House, Jerusalem House and Savaan House have an individual fridge (with freezer compartment).
  • Some rooms have extra facilities: shower, toilet and/or kitchenette. Check out the info on our website.
  • Rent includes:
    • electricity
    • heating
    • water
    • cleaning services for the common parts
  • The rental period for a fall semester starts on Friday, September 13th 2024 and ends Monday, Februari 3th 2025.
  • Rent is due for the whole period, even if you stay for a shorter period. The standard rental period is 1 semester so that we can give every foreign student the opportunity to rent a room. If you wish to rent for 2 semesters, this is only possible if there are still rooms available after June 5th. Please note in the comments that you are interested in renting for 2 semesters.

  • We also recommend searching the private market. Kotatgent's kotenzoeker is a handy tool in the search for a student room. And if you're around (or know someone in the area, be sure to take a look in the streets of Ghent itself and look for the 'kot te huur' or 'room for rent' signs.
